General Information SOUTHWEST TOUR AND TRAVEL was established in 1975. We have always been recognized as a leader in quality escorted tours. We offer motorcoach tours throughout the United States, Canada and Europe. Each tour is carefully researched by our experienced Southwest Tour and Travel staff so you can be confident that your tour will be everything you expect and more. You have our assurance that we will continue to give you our best.
TRAVEL AGENCY: Southwest Tour and Travel may be well known for their motorcoach tours, but we also have a full service travel agency. Our travel agency can make available to you any mode of transportation: air, Amtrak or cruise. We can also organize packages that include hotel and attractions for individual travel to destinations such as Hawaii, Branson, etc. Best of all, you can make all travel arrangements from the comfort of your home by calling our toll-free number and using your credit card or sending a check.
GROUPS: We love groups, and a tour with Southwest Tour and Travel is a wonderful experience for any type of group. Organize your friends, neighbors, club members, or church group together and call to arrange your trip. All tours featured in this brochure are available for partial or full groups. We will be happy to customize a tour especially for you. Ask us for details on rates and special group policies.
HOW TO MAKE A RESERVATION: Call or write the Southwest Tour and Travel office of your choice. Include the following information:
• Your name, full address (including zip code) and telephone number (including area code). Be sure to provide this information for others for whom you are making the reservation.
• Name and date of tour.
• Number of reservations requested.
• Type of room accommodations desired (single, double, triple or quad).
• Smoking or non-smoking (when available).
• Your departure point.
• Your first name or nickname for name badge.
To insure proper credit when sending a check for your deposit or final payment, please indicate the name and date of the tour on the check.
PHONE RESERVATIONS: Reservations made by phone will be held up to three days, pending receipt of your deposit.
DEPOSITS: Deposits for extended motorcoach tours are $200.00 per person unless stated otherwise.
PAYMENTS: Cash, personal check, Mastercard, VISA, Discover or money order will be accepted for payment on motorcoach tours.
FINAL PAYMENTS: Your reservation confirmation will indicate the due date for final payment. No further notice will be issued or sent.
CANCELLATIONS AND REFUNDS: You may cancel your motorcoach reservation for any reason thirty days prior to departure and receive 100% refund based on monies recoverable by Southwest Tour and Travel. Tours with airfare, cruises or other special arrangements have specified refund policies.
TRIP CANCELLATION INSURANCE: Coverage can protect you from nonrefundable charges and possible additional expenses, should illness or accident make it necessary for you or your traveling companion to cancel your tour or leave the tour en-route. You may purchase this insurance from Southwest Tour and Travel or your local travel agency.
INCLUSIONS: Your tour price includes motorcoach and other modes of transportation if indicated in individual itineraries, hotel accommodations, sightseeing and admissions to attractions designated on itinerary, meals as indicated, baggage handling for one large bag as indicated, services of a professional Southwest Tour and Travel Director and Driver. Meals on tours are listed at the end of each day with the letters B (Breakfast), L (Lunch), D (Dinner), and on some tours Complimentary Beverages (CB). Taxes and tips on included features and meals where indicated are also included.
TOUR DOCUMENTS: All necessary information will be sent to you approximately 10 days prior to departure. This will include an itinerary, your departure time and place, hotel listing, luggage tag and medical form.
ROOM SHARING ARRANGEMENTS: Tour participants not wishing to travel alone may request a traveling companion. Please indicate your desire to share accommodations when making your reservations, and Southwest Tour and Travel will make every effort to find you a roommate. In the event a suitable roommate cannot be found, the singe rate will apply. Please understand that a “single” reservation means single accommodations at the hotels, and does not guarantee a double seat on the motorcoach. Please be advised that triple and quad accommodations at the hotels will be two beds only. It does not cover the cost of a rollaway.
CHANGES IN ACCOMMODATIONS: If you are sharing a room and your partner cancels or leaves the tour en-route, you will be responsible for the difference in the accommodation cost.
ITINERARY VARIATIONS: Tours are planned a year or more in advance. Between planning time and actual tour operation, our Operations Department constantly strives to improve each itinerary to add to your convenience and enjoyment. If improvements can be made or if unforeseen conditions beyond our control deem change necessary, we reserve the right to vary itineraries and substitute facilities or attractions of equivalent or better value. In the event of cancellation of any scheduled attraction for any cause, we will attempt to provide a suitable substitute.
GRATUITIES: Unless otherwise stated, all tips for services rendered are paid by Southwest Tour and Travel. Gratuities for your tour director and driver are not included. They should always be related to the service received, and your personal discretion is advised. $1-$2 per day for the tour director and $1-$2 per day for the driver is the suggested amount per person. While on tour, it is important to remember to tip for coffee breaks and meals which you are buying for yourself that are not included in the cost of the tour.
LUGGAGE: Each person is allowed one large suitcase (max. 70 lbs) which will be handled for you throughout the tour as indicated. In addition, a small overnight case or tote bag may be carried aboard. Carry-on articles are the responsibility of each person. Though every effort will be made to safeguard your luggage, Southwest Tour and Travel accepts no liability for loss or damage of luggage. Report any damage at the time it happens.
DEPARTURE POINTS: All extended tours originate at designated Southwest Tour and Travel locations: Marshall, Willmar, Luverne, Worthington, Jackson, Sioux Falls and Brookings. Additional pickup points are scheduled based on the tour routing. Courtesy shuttle transportation will be provided upon request for ten or more people departing from the same location on most motorcoach tours. Some exceptions may apply.
SMOKING/LIQUOR: No smoking, chewing tobacco or open liquor is allowed on the motorcoach. Frequent stops are made, at which time those who wish to smoke may do so.
SEATING ARRANGEMENTS: To enable everyone to enjoy the view from all areas of the motorcoach and provide the opportunity of getting acquainted with all of the passengers, seating will be rotated on a regular basis. Your tour director will explain this procedure the first day of the tour.
INSPIRATIONAL MOMENTS: Tour directors are permitted to share a moment of non-denominational inspiration with full cognizance of the divergence of beliefs of individual passengers.
PERSONAL IDENTIFICATIONS: For all travel, domestic and foreign, photo I.D. should be carried. For travel into Canada or Mexico, U.S. citizens will need proof of citizenship, such as a valid passport. For all other foreign travel, a valid passport is required. Some countries also require a visa.
CHURCH: When conditions on the tour allow, we encourage you to attend the church of your choice. However, we are unable to make any special provisions for anyone to attend church.
SPECIAL OCCASIONS: If you will be having a special occasion such as a birthday or anniversary while we are on tour, please let us know in advance so that we may help you celebrate.
CLOTHING: Summer weight casual clothing is recommended for most tours. Spring and fall tours or mountain and coastal climates may require slightly heavier clothing. We suggest comfortable walking shoes, jacket or sweater which could be stored in the overhead luggage rack when not in use, foldaway umbrella, and a bathing suit for hotel pools and jacuzzis.
PARKING: Southwest Tour and Travel clients may leave their cars at our office at no charge. If you are boarding the motorcoach at another location other than our travel office, you must obtain permission from that property.
LIABILITY IN RELATION TO AIRLINES: We assume no liability for any actions of the airlines, such as flight delays, flight cancellation or equipment failures. The obligations and liabilities of an airline to you and your rights against an airline are subject to the terms and conditions of the airline's tickets and tariffs. *It is important to understand that portions of a trip missed due to a flight delay are lost, and no refund will be issued by Southwest Tour and Travel.
WEATHER DELAYS: If you are required to spend an additional night due to weather delays, you will be responsible for your own hotel and meal costs. Southwest Tour and Travel will not assume the additional expense.
RESPONSIBILITY: These tours are operated by Southwest Coaches, Inc. DBA Southwest Tour and Travel of Marshall, Minnesota. Southwest Tour and Travel acts only as an agent for tour members in arranging accommodations, transportation, sightseeing, admissions and restaurants. Southwest Tour and Travel, because of its status as an agent and because it maintains no control over the personnel, equipment, or operations of these travel services suppliers, does not assume any responsibility for and cannot be held liable for any personal injury, property damage, or other loss, accident, delay inconvenience, or irregularity from whatever cause during a trip. Southwest Tour and Travel reserves the right to decline to book or retain a person as a member of any tour and to change tour itineraries and components whenever Southwest Tour and Travel deems such a change to be necessary for the betterment of the tour or to cancel any tour if the circumstances require. No person, other than an authorized representative of Southwest Tour and Travel by a document in writing, is authorized to vary, add or waive any term or condition herein.
Southwest Tour and Travel is not responsible for typographical errors. Prices are subject to change without notice. Tour prices are subject to airline tax increases, fuel surcharges and other factors beyond our control.
